Illinois Policy Institute is looking for an individual to fill the role of Executive Assistant. This is a full-time in office position offering a competitive salary and benefits package.
- Conserve executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
- Organize and schedule meetings and appointments
- Working across departmental communication and synthesize information
- Support the CEO with special projects
- Assist in the preparation of regularly scheduled meetings
- Research and assist in the drafting of presentations
- Book travel arrangements
- Submit and reconcile expense reports
- Carry out administrative duties such as filing, copying, binding, scanning etc.
- Handle sensitive information in a confidential manner
- Take accurate minutes of meetings
- Develop and update administrative systems to make them more efficient
- Receive, sort and distribute mail for the CEO
- Greet and assist visitors to the office
The ideal candidate will have:
- Ability to work and be present in our Chicago office during our Monday – Friday business hours (8:30am – 5:00pm)
- Minimum 2-4 years’ experience in an administrative role, preferably in a non-profit setting
- Bachelor’s degree
- Strong interpersonal and customer service skills
- Strong organizational skills
- Proficient in Microsoft Office
- Excellent problem-solving skills
- Strong written/verbal communication skills
- Proactive, but flexible and adaptable, mindset
- A dependable and friendly demeanor
